The reporting side is already running
Most civic reporting platforms sell a portal and then need the municipality to drive residents to it. CleanSpot works the other way round: the citizen app is free, public and useful on its own, so reports exist in your territory whether or not you are a customer.
Subscribing gives you the dispatch and tracking layer on top of that, and immediate visibility of a backlog that was already being reported.
Triage inbox
Every report inside your territory arrives in one queue: litter, bag drop-offs and public issues such as potholes, broken streetlights, overflowing bins and damaged signage.
Filter by status, severity, type and subdivision. Search across titles, descriptions and addresses. Dismiss what is not yours to act on, and recover it later if that turns out to be wrong.
Assignment to teams or contractors
Assign a report to an internal employee or to an external contractor, reassign as circumstances change, and track it through to completion. Each assignment carries its own status, so a supervisor can see what is open, what is in progress and what is stuck.
When work completes, the citizen-facing report closes with it: the resident who reported the problem sees the outcome rather than silence.
Board, map and analytics
The same queue is available as a kanban board for daily operations and as a map for spatial patterns, which streets recur, where dumping clusters, where a bin is undersized.
Analytics cover volumes, resolution times and recurrence, computed in your own timezone so the numbers match a working week rather than UTC.
Scheduled email reports
Configure who receives what, and how often. Each routing rule has its own recipients, content types, severity floor, issue categories, statuses and subdivision, and its own cadence, from every five minutes for urgent alerts through to monthly summaries.
Recipients can include external authorities, so every message carries a provenance footer and a one-click unsubscribe.
Roles that match how you are organised
Permissions are capability-based rather than three fixed job titles: build the roles your organisation actually has and grant each one only what it needs: triage, assignment, reporting, settings, team management.
Access is scoped to your territory. Staff see the reports inside your boundary and nothing else.
Procurement questions, answered early
- GDPR-compliant and EU-hosted
- Reports are public by design; personal data is not, and is never sold
- Residents can export or delete their data from the app
- Citizen app in 30 languages; dashboard in English and Portuguese
- Annual subscription priced by population band
What does it cost?
An annual subscription priced by population band. Get in touch with your municipality size and we will put a quote together.
Do we need to migrate our existing system?
No. CleanSpot can run alongside an existing back-office system and cover the citizen-facing and dispatch side. Tell us what you run today and we will be straight about where it fits and where it does not.
How long does it take to start?
Your territory is provisioned with your boundary, your subdivisions and your staff accounts. There is no app rollout to residents, because the app is already live and already carries reports in your area.
Can external contractors be given access?
Yes. Work can be assigned to external contractors as well as internal employees, with permissions scoped to what they need.
